Privacy notice – event and company activities

Lufthansa Services (Thailand) Ltd. is committed to protecting the privacy and security of your personal data. When we collect personal data, we are obliged legally to provide you with certain information, it is called the “Right to be Informed”.  That information is contained in the below Notice.

If any of the information we provide to you is not clear enough, there is a contact detail for Lufthansa Services (Thailand)’s Data Protection team further down this Notice. Please do not hesitate to make contact and ask for further information.

This Privacy Notice explains how we use your personal data in connection with:

  • Your attendance at an event, meeting, or conference; and
  • Your participation in company activities such as quizzes, games, polls, surveys, contests, or other engagement activities organized by Lufthansa Services (Thailand) Ltd. (collectively referred to as “Events and Activities”).

From time to time, you may be asked whether you wish to stay in contact with us and to provide your consent for your personal data to be retained and used to communicate with you, in accordance with your stated preferences.

We may process the following categories of personal data:

Data you provide to us, for example through registration forms, activity platforms, email, or telephone:

  • Title, name, staff ID (if applicable), department, job title, or role
  • Full address, email address, and/or telephone number
  • Responses, answers, scores, rankings, or participation records related to quizzes, games, polls, or surveys
  • Dietary requirements or food allergies (where applicable)

Additional information:

  • For certain Events and Activities, we may collect biographical information about you from publicly available sources, which may include photographs. This information may be shared with host(s) or organizers to facilitate the smooth running of the Event or Activity.
  • Records of communications sent by us to you, or received from you, in relation to Events and Activities you attend or have attended.

Photographs and recordings:

  • Photographs, audio, or video recordings may be taken during Events and Activities. If you do not wish to be photographed or recorded, you may refuse or inform the organizer at any time.
  • For ease of access and personal use by participants, photographs may be stored in a shared folder. If you access photographs or recordings of other participants, you must respect their privacy and rights and must not use such materials for any unlawful purpose or in a manner that may negatively affect the data subject.

Video conferencing tools:

  • When Events or Activities are conducted using video conferencing applications (such as Microsoft Teams), the following information may be collected: your name, username, email address, IP address, MAC address, and device name.
  • Participation in certain Activities is voluntary. Any additional personal data requested will be clearly identified as optional.

We collect and process your personal data based on one or more of the following legal bases:

  • Performance of a contract, where processing is necessary for your registration and participation in Events or Activities;
  • Legitimate interests, to organize, manage, communicate, and improve our Events and Activities, including employee engagement and internal communications; and
  • Consent, where required, in particular for photographs, recordings, surveys, polls, optional information, or where sensitive personal data is involved.

This includes processing necessary to:

  • Manage participants and attendees
  • Communicate with you about Events and Activities
  • Administer quizzes, games, polls, surveys, results, rankings, or prizes (where applicable)
  • Produce statistics, reports, and feedback in aggregated or anonymized form

Dietary and medical-related data:

Where catering is provided, information on food allergies or special dietary requirements is processed solely for catering purposes.

Providing such data is optional. Where this information constitutes sensitive or medical data, your explicit consent forms the legal basis for processing.

Within Lufthansa Services (Thailand) Ltd., your personal data is shared only with departments and staff who require access for the purposes described in this Notice.

We may share relevant personal data with external service providers involved in organizing Events and Activities (e.g. catering providers, event platforms, or activity tools). Any personal data shared:

  • Will be used solely to provide the requested services; and
  • Will not be retained by such external organizations after the Event or Activity has concluded, unless required by law.

We will retain your personal data only for as long as necessary, including:

  • For the duration required to organize and manage Events and Activities, including audit and reporting purposes; and
  • For periods required under applicable laws and regulations, including tax and audit obligations.

Information relating to dietary requirements, accessibility needs, or optional activity responses will be deleted after the Event or Activity, unless a longer retention period is required or the data has been anonymized.

You have the right to:

  • Request access to your personal data
  • Request correction of inaccurate or incomplete data
  • Request restriction or erasure of your data in certain circumstances
  • Object to the processing of your data
  • Request data portability, where applicable

Where processing is based on your consent, you have the right to withdraw that consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
